Think Local.

Why local?

Due to the nature of the events industry, Heartwood Events buys a range of goods and services from a broad and mixed list of suppliers. The businesses we engage with include food vendors, florists, infrastructure suppliers, and staff - this list is not exhaustive.

Working with local suppliers has many mutual benefits, including developing local economies, reducing the need for transportation (and associated carbon emissions), and creating a community of suppliers and attendees.

What is local?

For food and drink, florists, decor, and staffing requirements, we aim to work with people, vendors, and suppliers in the immediate area (within 10 miles).

For infrastructure and production, we aim to work with suppliers within 40 miles.

Think Green.

Why green?

Heartwood Events is committed to reducing its carbon footprint in all decision-making processes and encourages the event organisers we work with to do the same.

By adopting eco-friendly practices, event organisers can set an influential example, meeting the developing industry standards and aligning with (and exceeding) our audience expectations.

With growing demands for eco-consciousness, organisers must minimise impacts and use their platforms to educate and inspire change, ensuring events remain relevant and beneficial in addressing environmental concerns.

What do we do?

  • Prioritise partners, venues, suppliers that share our commitment to sustainability.

  • Minimise waste and prioritise re-use over re-cycle.

  • No single-use plastic - including bio-plastic (still requires industrial processing to recycle).

  • All single-use serveware should be at-home compostable such as “Bio-Pak” or similar.

  • Choose organic & locally sourced fruit, veg, milk, dairy, eggs and meat

  • Avoid mega-brands including nestlé, mars, Coca-Cola, Mondalez (Cadburys), Kraft, General Mills, Kellogs, Danone

Think Safe.

What is safe?

We use industry standards for all our health and safety assessments. All vendors and suppliers must provide relevant safety documentation before engagement, including public liability insurance, risk assessments, PAT testing certificates, Gas safe certificates, food safety plans and any other relevant documentation. All documentation is checked by a qualified Health & Safety officer.

Financially Accessible

Why do we need to think about it?

Events are becoming increasingly expensive - reflecting the rising cost of infrastructure, staffing and insurance etc. We must ensure they are still accessible to all attendees, and there is no financial block on accessing music, arts and culture.

How can we help?

As event organisers, we can implement measures to ensure everyone can attend. Offering "pay-it-forward" schemes, discounted tickets, and renting camping equipment or transport to the venue are all ways to help a family enjoy an event.
